What is the WHEN Mini Hub adjustment program?

For the adjustment of children under the age of 3 who have not yet started nursery school or are using the WHEN Mini Hub service for the first time, a special service is provided that prioritises the importance of a gradual and gentle transition into a new environment. The program lasts for one week, with the possibility of extension, during which the child and their guardian visit the space daily and follow a specific schedule that gradually evolves, allowing the child to adjust smoothly to the WHEN Mini Hub and to any new environment.

The responsible educator closely monitors the child’s progress and adapts the process according to their needs, ensuring the child feels safe and comfortable, so that positive associations are built with the new setting. The adjustment period is complete when the child feels comfortable separating from their guardian. Learn more here.

I would like to network with other women - will I have that opportunity while working at WHEN Hub?

Building a supportive community of women is a key part of the WHEN Hub vision. This community is still evolvingt, and every new participant contributes to its strength. Through daily presence in the space, informal interactions, and small initiatives, opportunities for connection, exchange, and collaboration naturally emerge.

I need the podcast studio. Can I apply for a scholarship?

The WHEN Hub podcast studio is not included in the scholarship program. Its use costs €20 per hour and can be booked here or by contacting our team. If you're interested, please don’t hesitate to contact us at hub@when.org.gr for more information.

Can I use the meeting room if I receive the scholarship?

Yes! If your primary need is to use the meeting room for professional meetings, sessions, or collaborations, you are welcome to apply for a scholarship. Please note that the 20-hour package includes 2 hours of access to the meeting room, while the 50-hour package includes 4 hours and you will have co-working hours available.

What happens after I submit my application?

After submitting your application, you should get an email confirmation of receipt. Then, the WHEN team will evaluate your application and inform you about the outcome within approximately 2-4 weeks, depending on the available positions. If your application is successful, we will contact you to arrange the following steps and provide you with all the necessary information to start working from the WHEN Hub. If your application is not successful, you will receive an update, and you will always have the opportunity to apply again in the future.

Who can apply for a scholarship?

At the WHEN Hub, we believe that everyone deserves access to a safe, supportive, and creative workspace.
That’s why we offer scholarships to those who want to work from WHEN Hub but face financial barriers or challenges related to gender, ethnicity, age, disability, sexual orientation, or other aspects of their identity. We place particular emphasis on supporting women from underrepresented groups, such as unemployed women, single or mothers of multiple children, women with disabilities or chronic illnesses, LGBTQ+ women and feminine-identifying individuals, survivors of gender-based violence, women aged 45 and over, migrant and refugee women, women living below the poverty line, and women with neurodivergent traits.

How is the selection process for WHEN Hubers carried out?

Once you submit your application, the WHEN Hub team evaluates it based on your needs as well as the criteria we have set. We prioritize women who can benefit most from access to the space while ensuring diversity among our WHEN Hubers. We aim to support people from different backgrounds and experiences.
We will inform you of the outcome of your application within 2-4 weeks.

When can I apply?

Scholarship applications remain open throughout the year, and available spots are regularly updated and adjusted to meet the needs of each applicant. This means they cover either specific days or hours of access to the space or longer periods of use, depending on what each individual needs most.

What does the scholarship include?

Your scholarship offers free access to the WHEN Hub space, as well as the Mini Hub, our creative play service for infants and children aged 0-12 years. The duration and frequency of access are determined based on the scholarship you select during the application process.

Of course! Depending on availability and your needs, the scholarship can include free access to the Mini Hub, our creative play service for infants and children aged 0-12 years.

What age groups do you accept?

The services provided by the Mini Hub team are designed for infants and children aged 0 to 12 years. The space where these activities take place is appropriately designed and safe for this age group.

How many hours can a child be creatively engaged at WHEN Mini Hub?

The operating hours of the Mini Hub are from 9:30 a.m. to 5:00 p.m. We recommend that your child stays on the premises for up to 6 hours. If your needs are different, please contact us so that we can find the best possible way for this to happen.

I want to organize an event that offers creative activities for children. Is that possible?

Yes, it is possible. We can support your event by providing a creative play service for the children of the participants. We would be happy to discuss your needs and create a program that meets your expectations. Please contact us for more details at 211 218 1642-3 or hub@when.org.gr.

Can I leave my child at WHEN Mini Hub and run errands?

The WHEN Mini Hub provides its services only while the children’s parents or guardians are working in the space. If you need to leave for any reason, pleas take your child with you. You will be welcome again when you return for the remainder of your booking time.

How many children can be hosted in the WHEN Mini Hub space?

The space of the WHEN Mini Hub is designed to accommodate up to eight children simultaneously, allowing them to play and interact comfortably. For larger events, we use a second space to accommodate up to twice the number of children.

Can children with a disability be hosted in the space?

It is our priority to offer an accessible and welcoming space to all children and adults. We recommend that you contact us to explore the best possible approach to achieve this!

Does the WHEN Hub ever close?

The Hub is closed on the following official holidays: March 25, October 28, December 25, December 26, January 1, January 6, the Holy Spirit holiday, Clean Monday, Good Friday, Easter Monday, Labor Day (May 1), and in August from August 3,2026 to August 23,2026. Also in December 24, and December 31.

I want to come with my baby, but is there a space where I can breastfeed?

We have created the Parent & Child Room for this exact purpose! This is a quiet and fully equipped space where you can breastfeed, feed, change, or put your baby to sleep without any disturbance.

Do you have the necessary license to provide child care services?

The WHEN Mini Hub complies with all relevant safety regulations, takes necessary precautions to prevent potential risks, and offers its services through an exceptional team of qualified staff with extensive experience and knowledge. However, it does not operate as a daycare or Creative Engagement Center (K.D.A.P.), so it is not subject to specific licensing or regulations in that regard.

What qualifications do the people responsible for child care in the space have?

The WHEN Mini Hub team is managed by the Mini Hub Manager, who has extensive experience in caring for and creatively engaging children, with ongoing training on issues related to their optimal development. Supported by assistants/volunteers, they create a safe and welcoming environment where children feel free to play and share emotions. All staff members involved are guided and supervised by the Mini Hub Manager.

Can I see my child from where I’ll be working?

The Mini Hub space does not have direct visual contact with all other spaces of the WHEN Hub. However, we can immediately notify you by phone or SMS about anything your child may need during their stay. You are also welcome to visit your child any time, provided this does not disrupt the smooth operation of the Mini Hub.

How will I be notified if my child needs me?

For anything your child may need during their time at the Mini Hub, we can promptly notify you by phone or SMS.

Is there someone on-site who knows First Aid?

The Mini Hub Manager is properly trained to provide First Aid to children and infants. There is also a fully stocked first-aid kit on each floor.

Can I bring my child’s friend with me?

Yes, as long as you make a reservation for both children, specifying your role as the parent or legal guardian for your child and as the accompanying adult for their friend. On the day of the reservation, you will need to provide official authorization (through KEP or gov.gr) from the parent or legal guardian of the other child for the use of the Mini Hub’s services.

How many childminders are on-site at any given time?

Our services are designed with the safety of the children and a personalized approach to their engagement in mind. The number of children that can be in the Mini Hub space at a time is from one to eight, under the supervision of the Mini Hub Manager and one other suitably trained individual, who will support the manager as needed.

This is the first time I’ll leave my child with another adult. How do you suggest we best prepare for this?

The first time you use the Mini Hub service, you will need to arrive 15–20 minutes earlier than your reservation time. This allows your child and their accompanying adult to build a trusting relationship with the Mini Hub team and feel comfortable in the space. If you need extra time, of course, you may take it. If, during your absence from the Mini Hub, your child shows strong and persistent distress, we will respect your child’s feelings as well as the rest of the group, and we will ask you to pick them up. Can my child sleep at the Mini Hub?

If your child is an infant, you can use the Parent & Child Room, a quiet and fully equipped space. If your child is older, they could sleep at the Mini Hub on a mattress suitable for both play and short naps, upon prior arrangement.

Can children eat or drink in the Mini Hub space, or is there a more suitable area available?

We recommend that children eat and drink in our specially equipped and welcoming kitchen. The accompanying adult is responsible for providing food to the child, unless the child is old enough to eat independently. Older children, who have developed this skill, are accompanied by the Mini Hub team in the kitchen and can be assisted with the eating process (serving, tidying up). Children are welcome to bring a water bottle to the Mini Hub space.

What should I bring in my child’s bag?

The child’s bag will stay in the Mini Hub space. It should ideally contain a water bottle, a toy they feel close to, and, for children under 4 years old, a complete change of clothes, diapers (if used), wipes, a small towel, and any other items you consider necessary.

Is there a WC in the space?

There is a WC next to the Mini Hub space, which the child can use with the accompaniment of an adult, if they are not yet old enough to manage the toilet safely on their own. The accompanying adult can either be the guardian or a member of the Mini Hub team. This will be agreed upon entering the space.

What is your policy regarding children’s illnesses?

We take every possible measure to minimize the spread of germs in all WHEN Hub spaces. If you suspect your child is unwell, please keep them at home. If your child becomes ill while in our space, we will ask you to pick them up immediately. The child must be fever-free for 24 hours, without the use of fever-reducing medications, and free from diarrhea or vomiting before returning to the space.

Isn’t the WHEN Hub part of WHEN, the non-profit organization? Why do the people who use its services and spaces need to pay?

You are right, WHEN Hub is a project of WHEN, and it has a purely non-profit character, just like our organization.

This means that none of the people who created or are involved in the project have access to its profits – these profits are reinvested continuously into its operation and the services it provides to its beneficiaries.

However, this doesn’t mean that it doesn’t have costs to cover, or that it can’t engage in commercial activities, i.e., provide paid services! This is one of the revenue sources it needs to cover its costs (rent, salaries, utilities, equipment, maintenance, and so on).

In practice, like WHEN, it operates based on a hybrid model, meaning that: a) it provides paid services to individuals who can afford them (which are, in any case, lower than the cost of similar services provided by for-profit organizations) so that b) it can offer these services for free to those who cannot afford them.

How can I book a spot in the co-working space/Mini Hub/meeting room/podcast studio?

Bookings for all our spaces are made through our website, specifically our booking platform. You can choose and purchase the package that suits you, and then select the specific hours you want to use the space (Desk, Mini Hub, meeting rooms, podcast studio) in the calendar. (With the exception of the Monthly Dedicated Desk and the WHEN Mini Hub Monthly package).

How is payment made?

Payment is made online through the secure Stripe payment platform.

How many hours a month can I book at WHEN Hub’s co-working space?

There is no time limit for the hours you can book at the WHEN Hub co-working space. We offer you the option to choose from one of the packages available here or book as many hours per day as you want, with the “drop-in” option.

How can I organize my own event at WHEN Hub?

At the WHEN Hub, we offer you the opportunity to organise your own event or meeting in our event space, which has a capacity of up to 70 people. For more information, pleas us at 211 218 1642-3 or hub@when.org.gr.

What happens if I can’t use all the hours I’ve pre-booked at the co-working space or the Mini Hub?

According to our cancellation policy, for hourly memberships, half-day and full-day passes, as well as bookings of the podcast studio and the meeting rooms, we offer a full refund for cancellations made up to twelve hours before the start of your booking.

For monthly memberships (monthly hot desk, monthly dedicated desk, 20-hour Hub membership package, and 50-hour Hub membership package), we offer a full refund if membership is canceled up to fourteen days after the purchase of the package.

If you need to cancel a monthly membership after it has started and within fourteen days of the purchase date, you will receive a refund for the unused portion of your subscription, and you will only be charged for the time you have already used.

The amount of the refund is calculated by the specific package selected, the timing of cancellation, and how much of the month the booking covers. For more information on how your refund amount is calculated, please call us at the Hub’s phone number (211 218 1642-3).

Is the space accessible/inclusive for people with mobility, visual, or hearing impairments?

The main areas of WHEN Hub have been designed to provide maximum accessibility for people with mobility, sensory, or other impairments.

Specifically, the Hub provides:

  • Ramps with a minimum width of 0.90 m at the building's entrance door
  • An accessible path from the entrance to the elevator, with maneuvering space
  • An accessible elevator
  • Fully accessible WCs on the first and second floors
  • A stable, non-slip, and non-reflective floor
  • Minimum interior door width of 0.85 m
  • Good lighting

Access to the third floor, where the Parent & Child Room and podcast studio are located, is only possible by stairs.

Is there a shared kitchen at the WHEN Hub?

The WHEN Hub features two shared kitchen spaces (located on the first and second floors), where you can prepare a quick meal, snack, or baby formula, or use them for the catering needs of your event.

What are the hours and days of operation? 

The WHEN Hub is open Monday to Friday, from 9:30 AM to 7:00 PM.

How many people can fit in the meeting rooms?

The WHEN Hub features two shared kitchen spaces (located on the first and second floors), where you can prepare a quick meal, snack, or baby formula, or use them for the catering needs of your event.

What is the capacity of the event room?

The event room has a capacity of up to 70 people, but it can also be used partially.

What provisions have you made to ensure quietness in the co-working space?

At the WHEN Hub, we have operating regulations that ensure quiet coexistence in the coworking space. Both in the event space and in the coworking area, we have installed sound-absorbing elements to achieve optimal acoustic comfort. Additionally, we have provided a special phone booth that can be used for phone calls and video calls, in combination with your reservation.

Do you provide event organization support?

We have a network of recommended partners who provide audiovisual support services, catering, video recording, and material printing. Furthermore, the staff at the WHEN Hub will be on hand to support the smooth organization of your event!

Will coffee, tea, water, etc., be available for everyone in the shared kitchen?

We offer coffee, hot water for tea, and drinking water free of charge throughout the day.

What happens if I am a member, but the space is closed for an event?

We ensure our calendar is always up to date in advance, so that you can work smoothly without any surprises. In the rare case that the space you’ve chosen is closed for an event while you've already made a reservation, you will have the option to extend your package for another time or cancel your reservation according to our cancellation policies.

Can I transfer my business headquarters to WHEN Hub?

I’m a man, can I work in the WHEN Hub?

Can I book a meeting room or podcast studio for a few hours without being a member?
